Booking & cancellation We agree the details in advance, so you know what you are booking and what it will cost. Version 2026-10-13-1. Applies to new bookings where these terms are supplied before acceptance and form part of the agreement. Existing agreements are unchanged. Save the full terms as a text file From enquiry to booking Ask about your date. An initial enquiry is free and does not create a booking or an obligation to pay. You receive a written offer. It sets out the date, venue, playing times, scope, equipment, technical responsibilities, fee, approved extras, total price and payment terms. Each offer states an acceptance deadline with a date and time in Swedish local time, adjusted to how soon the event takes place. A version of the booking and cancellation terms that you can save is attached. You explicitly accept. The booking becomes binding when your acceptance of the specified offer and terms reaches me within the offer’s validity period. An email reply is fine. Changes or a late reply require us to revisit the agreement. A late reply does not automatically book the date; I will promptly notify you if a late acceptance cannot be accepted. I then send a booking confirmation documenting our agreement. This is not an additional requirement for an already accepted agreement to be valid. Silence or an unanswered quote is not acceptance. If you need to cancel Email humanbrainer@gmail.com with your name, event date and the booking you wish to cancel. Cancellation takes effect when the message reaches me, even if I acknowledge it later. Keep your email and please follow up if you receive no reply. A clear cancellation through another contact channel may also be valid; writing helps avoid misunderstandings. Cancellation fee – maximum levels Time before the performance | Share of the fee | More than 60 days | 0% | 31–60 days | Up to 25% | 15–30 days | Up to 50% | 0–14 days, including the event day | Up to 100% | Days are counted between the cancellation date and the event date using Swedish local time. The percentage applies to the agreed performance fee, including agreed additional playing time, but excludes travel, accommodation, hire and separately commissioned preparation. For the talk + DJ package, the package fee applies if the whole package is cancelled. The charge reflects the financial loss. I take reasonable steps to limit the loss and deduct costs saved and net income from a new assignment that actually replaces the cancelled performance and could not have been undertaken alongside it. Other independent bookings are not deducted. A replacement is credited only to the extent it actually reduces the loss caused by this cancellation. Compensation will not exceed either the table’s maximum or a reasonable, explainable loss. This may include standard planning already carried out and lost earnings; standard planning is not charged again on top of the fee. Late cancellation may mean the full fee is payable if the loss is equivalent to it. What does 0% more than 60 days before mean? No cancellation fee is charged for the performance or its included standard planning. Separately commissioned preparation already completed may remain payable under its separate agreement, as may approved, non-recoverable external costs subject to the limits below. Approval of a cost limit does not make the whole limit payable. Statutory withdrawal and mandatory consumer rights remain unaffected. Calculations, external costs & additional work The calculation uses the fee excluding VAT. VAT is added only where the compensation is taxable. For consumers, the amount including any VAT will never exceed the table’s percentage of the agreed VAT-inclusive fee. You receive an itemised calculation of the fee, deductions and any VAT. Payments already made are credited and any surplus is refunded. Standard planning covers discussing music preferences, the audience, timings and the evening’s programme, music preparation and a routine review of the venue’s existing sound information. Standard setup and pack-down are also included in the performance price. Site visits, specialist technical assessment and other substantial preparation are charged only if separately commissioned and approved by you in writing in advance, including the scope, price or cost limit, and cancellation terms. This also applies before a possible performance booking. No such paid work starts without your approval. Separately commissioned work already completed may remain payable under that agreement even if the performance is not booked or is cancelled. Additional purchases, hired sound or lighting, specialist technical arrangements and other external costs require your prior written approval of the cost or limit and the cancellation arrangements. If you cancel, you pay only approved costs actually incurred that cannot be recovered or used elsewhere. Refunds, deductible VAT and the value of reusable purchases are deducted. Costs are itemised and may apply even when cancelling the performance itself is free. The same work or cost is never charged twice. Consumers, date changes & unforeseen events These terms apply to consumers and business customers when incorporated into the agreement. A consumer is an individual booking mainly for purposes outside their business. A sole trader booking a private party may therefore be a consumer. The table’s limits and deductions apply to both groups. Business customers have no statutory right of withdrawal under Sweden’s Distance Contracts Act. Consumers always retain their mandatory legal protection. A charge may need to be reduced further if the circumstances make it unfair. The table covers customer cancellation, not a lawful termination due to my breach of contract. Statutory withdrawal and cancellation are different. Consumers normally have a 14-day right of withdrawal for contracts covered by Sweden’s Distance Contracts Act, but legislation includes exceptions for leisure activities on a specific date. A DJ performance for a dated event may fall within this exception. You will be told what applies to your booking before accepting. Where a statutory right of withdrawal applies, these terms do not limit it and the cancellation table does not apply when you exercise that right. Separately commissioned preparation is assessed separately. Where withdrawal rights apply, work starts during the withdrawal period only at your express request. If you withdraw, only a reasonable proportion for completed work is payable, subject to the statutory information requirements and other conditions. Withdrawal rights expire on full performance only with your express consent to starting work and acknowledgement that full performance ends those rights. External costs cannot automatically be added beyond the compensation permitted by law when you withdraw. Need a new date? Get in touch and we will explore the options. Rescheduling, a new price and any charges require written agreement by both parties. A new date does not automatically replace the original booking. Costs or losses avoided by rescheduling are deducted. If I cannot perform, I will contact you as soon as possible. A replacement DJ or a new date requires your approval. You do not pay for a performance I cancel; any advance paid for it is refunded. This does not affect any further rights you may have. Government prohibitions or other extraordinary obstacles beyond the parties’ control are assessed individually under the agreement and applicable law. The table does not automatically require full payment in those circumstances. Questions or complaints? Contact Anna Laurila, DJ Cool Tant A, at humanbrainer@gmail.com. We will first try to resolve the issue together. Consumers can also contact Sweden’s National Board for Consumer Disputes (ARN), where eligible, or an ordinary court. Swedish law applies, without limiting mandatory consumer protection.
